OWCOL SIS
Rosario SIS by OWCOL — OWCOL SIS — is the student information system holding enrollment, scheduling, and academic records. This supplement covers record access, confidentiality, and accuracy.
01Scope
This supplement applies to Rosario SIS by OWCOL, reachable at sis.inactiveimmortal.com. It sits on top of the OWCOL General Terms and the OWCOL Privacy Policy, both of which apply in full. Where this supplement and the General Terms conflict, this supplement controls — for this service only.
02What this service is
OWCOL SIS is a self-hosted deployment of RosarioSIS at sis.inactiveimmortal.com. It maintains student demographic information, enrollment, course schedules, attendance, grades and report cards, and related administrative records.
It is the system of record for the academic data it holds. Where Canvas and OWCOL SIS disagree, OWCOL SIS governs — though only an official document issued by the institution is authoritative outside the system.
03Access and accounts
Access is provisioned by the administrator or by the institution and authenticates through OWCOL SSO. Roles — administrator, teacher, staff, parent/guardian, student — strictly limit what records you can see.
Parent and guardian accounts are linked to specific students by the institution. If a link is wrong or out of date, report it immediately to admin@owcol.com; do not use access you know you should not have.
04Service-specific rules
OWCOL SIS holds sensitive records about identifiable students, including minors. In addition to the General Terms, when using OWCOL SIS you agree not to:
- Access a student record you have no legitimate educational or parental reason to view, even if the system technically permits it.
- Disclose, republish, photograph, or forward student records to anyone not authorized to receive them.
- Export, download, or copy records in bulk without written authorization from the institution.
- Enter false, misleading, or defamatory information into a student record.
- Alter grades, attendance, or enrollment outside your assigned role and your institution's procedures.
- Use student contact information for marketing, solicitation, or any purpose unrelated to the student's education.
- Leave a session open on a shared or unattended device.
Staff obligations
If you hold a staff or teacher role, you are handling education records and are bound by your institution's confidentiality policies and by applicable student-privacy law in your jurisdiction — in the United States, that includes FERPA. Access is logged. Misuse will result in immediate revocation and referral to the institution.
05Your data here
OWCOL SIS stores student identifiers and demographics, guardian and contact details, enrollment and scheduling, attendance, discipline entries, grades and transcripts, and administrative notes. Where OWCOL hosts these records on behalf of a school, the school is the controller of the records and OWCOL acts as its processor, acting on the school's instructions.

Requests to inspect, correct, or amend a student record go to the institution first. OWCOL will action a correction at the institution's direction and can supply a copy of the stored data on verified request.
06Availability and maintenance
OWCOL SIS is provided on the same reasonable-effort, no-SLA basis as every other OWCOL service. See Availability and changes in the General Terms.
Reporting periods, report card generation, and end-of-term processing put the system under load; maintenance is avoided during those windows where possible but is not guaranteed to be. Institutions should keep independent copies of finalized records such as issued report cards and transcripts.
07Ending your use
Student records are retained according to the institution's retention obligations, which may require keeping them well beyond the end of enrollment and beyond the account's closure. Your individual account access can be revoked at any time on request; the underlying records are removed only where the institution and applicable law permit. Contact admin@owcol.com.
OWCOL may suspend or terminate access to OWCOL SIS under section 9 of the General Terms.
08Upstream software
Rosario SIS by OWCOL is an independently operated deployment of RosarioSIS, an open-source project. OWCOL is not affiliated with, endorsed by, or sponsored by its respective copyright holders, and its respective copyright holders provides no support or warranty for this deployment. All trademarks belong to their respective owners.
Upstream updates may change or remove features without notice from OWCOL.
