OWCOL Office
Nextcloud by OWCOL — OWCOL Office — is the file storage, sync, sharing, and collaboration platform. This supplement covers quotas, sharing, and what happens to deleted files.
01Scope
This supplement applies to Nextcloud by OWCOL, reachable at office.owcol.com. It sits on top of the OWCOL General Terms and the OWCOL Privacy Policy, both of which apply in full. Where this supplement and the General Terms conflict, this supplement controls — for this service only.
02What this service is
OWCOL Office is a self-hosted deployment of Nextcloud at office.owcol.com. It provides file storage and sync, sharing links, collaborative document editing, calendars, contacts, and related apps.
Available apps and features depend on what is installed and may change with upgrades. Not every Nextcloud feature you may have read about is enabled here.
03Access and accounts
Accounts are provisioned by the administrator and sign in through OWCOL SSO. Desktop and mobile sync clients, along with WebDAV, CalDAV, and CardDAV clients, should authenticate with a per-device application password rather than your main credentials, so that a lost device can be revoked on its own.
04Service-specific rules
In addition to the acceptable-use rules in the General Terms, when using OWCOL Office you agree not to:
- Exceed your storage quota, or evade a quota by spreading data across accounts or shares.
- Use the service as a public content delivery network, a download mirror, a backup target for entire machines, or a distribution point for large media libraries.
- Store or share material you do not have the rights to distribute.
- Create public share links to content that should not be public. A public link is public: anyone holding the URL can open it, and links can be forwarded, logged, and indexed.
- Run scripts, sync loops, or automated jobs that generate excessive load, request volume, or file churn.
- Share content with people outside OWCOL without confirming you are allowed to, particularly where that content contains someone else's personal data.
Sharing is your call, and your responsibility
Set an expiry date and a password on links to anything sensitive, review your active shares periodically, and remove ones you no longer need. OWCOL may remove a share that is generating abuse reports or excessive traffic.
05Your data here
Files, folders, shares, calendars, contacts, and collaborative documents are stored on OWCOL-controlled infrastructure. Data is encrypted in transit, and encrypted at rest at the storage layer; it is not end-to-end encrypted, which means the administrator is technically able to access file contents when operating or troubleshooting the system.
Deleted files go to the trash and older versions are kept for a limited window — both are bounded by quota and time, and neither is a backup. Once the trash is emptied or the retention window passes, recovery may be impossible.
Export your data at any time by downloading it through the web interface or syncing a full copy with a desktop client.
06Availability and maintenance
OWCOL Office is provided on the same reasonable-effort, no-SLA basis as every other OWCOL service. See Availability and changes in the General Terms.
Storage capacity is finite. Quotas may be adjusted, and the administrator may ask you to reduce usage. Sustained excessive usage after a request may result in throttling or suspension.
Upgrades to Nextcloud and its apps may change behavior, remove features, or require sync clients to be updated.
07Ending your use
On account closure, your files, shares, calendars, and contacts are deleted after the retention period in the Privacy Policy. Shares you created stop working immediately. Files you placed in another user's shared folder may remain with that folder. Download what you want to keep first.
OWCOL may suspend or terminate access to OWCOL Office under section 9 of the General Terms.
08Upstream software
Nextcloud by OWCOL is an independently operated deployment of Nextcloud, an open-source project. OWCOL is not affiliated with, endorsed by, or sponsored by Nextcloud GmbH, and Nextcloud GmbH provides no support or warranty for this deployment. All trademarks belong to their respective owners.
Upstream updates may change or remove features without notice from OWCOL.
